While you’re in there
Change it to one that looks like this
Most signatures are a few lines of plain text. esigna’s free Editor turns the same details into a designed signature in a few minutes, with your photo or logo, and copies it ready to paste into the steps below.

New Outlook and Outlook on the web
New Outlook for Windows and Outlook in a browser, Outlook.com included, change a signature the same way.
- Select Settings.
- Select Accounts, then Signatures.
- Select the Edit signature button next to the signature you want to change.
- Make your changes.
- Select Save.
- To change where it is used, tick or clear the checkboxes at the bottom for new messages and for replies and forwards.
Microsoft says that if you use both Outlook and Outlook on the web with a Microsoft account, you need to set up the signature in both. If these steps don't match what you see, you may not be on new Outlook yet: try the classic Outlook steps below.
Classic Outlook for Windows
The long-standing desktop app, which Microsoft's help calls classic Outlook.
- Select File, then Options, then Mail, then Signatures.
- Under Select signature to edit, select the signature you want to change.
- Make your changes in the Edit signature box.
- Select Save, then OK.
- To change which one is used, under Choose default signature pick it in New messages and in Replies/forwards, or choose (none).
You can also reach Signatures from a new email: on the Message menu, select Signature, then Signatures.
Outlook for Mac
- On the Outlook menu, select Settings.
- Under Mail, select Signatures.
- Under Signature name, select the signature you want to change, then select Edit.
- Update your signature, then close the Signatures window.
- To change which one is used, under Set default signature select the account, then set For new messages and For replies or forwards.
With more than one account, Microsoft says to set the default signature for each one. In legacy Outlook for Mac, Signatures is under Email, and the defaults are under Choose default signature, as New messages and Replies/forwards. Microsoft ends support for legacy Outlook for Mac in October 2026.
The Outlook app on iPhone and Android
- Open Settings.
- Under Mail, tap Signature.
- Edit your signature. To give each account its own, turn on Per Account Signature.
Microsoft's help doesn't say whether the app shares the signature you set on your computer, so change it here too.
Replace it with a new signature
Open the old signature, clear it, and paste the new one in its place.
- Make the new signature in esigna's free Editor and choose Copy signature.
- Open the signature you want to replace, as above for your version of Outlook.
- Select everything in the editing box and delete it.
- Paste the new one (Ctrl+V, or ⌘V on a Mac) and save.
Keeping the same signature, rather than adding a second one, means your default settings for new messages and replies stay as they were.
Where is the signature in Outlook
The quickest way in, for each version of Outlook.
- New Outlook and Outlook on the web: Settings, then Accounts, then Signatures.
- Classic Outlook for Windows: File, then Options, then Mail, then Signatures.
- Outlook for Mac: the Outlook menu, then Settings, then Signatures under Mail.
- The Outlook app: Settings, then Signature under Mail.
Troubleshooting
If something looks wrong
New emails still have my old signature
The edited signature isn't the default. In new Outlook and on the web, tick the box for new messages under Signatures and select Save. In classic Outlook, pick it in New messages under Choose default signature. In Outlook for Mac, set it under Set default signature.
My old signature still shows on another computer
With a Microsoft 365 or Outlook.com account, Outlook for Windows keeps signatures in your mailbox and shows them on every device where that account is set up. Accounts from other providers, and POP or IMAP accounts, keep signatures on each computer, so change it on each one.
My phone still sends the old signature
The Outlook app has its own signature setting. Open Settings, tap Signature under Mail and change it there.
My new signature lost its design
Your emails are set to plain text, which drops formatting and pictures. In new Outlook, go to Settings, then Mail, then Compose and reply, and under Message format choose HTML. In classic Outlook, go to File, Options, Mail, and set Compose messages in this format to HTML.
I can't find Signatures in Outlook
The menus differ by version. If Settings, Accounts, Signatures isn't there, you are probably in classic Outlook for Windows: go to File, Options, Mail, Signatures. On a Mac it is the Outlook menu, then Settings.
FAQ
Outlook signature questions
How do I edit or update my Outlook signature?
The same way you change it. In new Outlook and Outlook on the web, select Settings, Accounts, Signatures, then Edit signature next to it. In classic Outlook, go to File, Options, Mail, Signatures and select it. Save when you are done.
Can I have more than one signature in Outlook?
Yes. Microsoft's help suggests separate signatures for different purposes, such as internal and external, or personal and business. Set one as the default for new messages and another for replies and forwards, or pick one as you write.
How do I use a different signature for replies?
Set it as the default for replies and forwards: the checkbox under Signatures in new Outlook and on the web, the Replies/forwards box in classic Outlook, or For replies or forwards on a Mac.
Will the change reach my other devices?
In Outlook for Windows, signatures on a Microsoft 365 or Outlook.com account are stored in your mailbox, so the change appears wherever that account is set up. Microsoft says to set it up in Outlook on the web as well, and the phone app has its own setting.
