What to include in a software developer email signature

The fields matter less than the order and the restraint. These are the decisions specific to this role.

  1. Minimal by default — your email goes to mailing lists

    Developer email lands in code review threads, issue trackers, and mailing lists that strip HTML or quote your signature on every reply. A four-line signature stays readable everywhere. A rich one becomes a wall of broken markup in the exact places your peers read it.

  2. GitHub instead of a website, usually

    For most developers GitHub is the portfolio. Use the website slot for your GitHub profile unless you maintain a real personal site. Only link it if the profile is presentable — a green-square wall with no pinned repositories doesn't help you.

  3. Role and level, since titles are ambiguous

    "Engineer" spans a very wide range in practice. "Senior Backend Engineer" or "Platform Engineer, Payments" tells recruiters and cross-team colleagues where you actually sit, which matters in large organisations where nobody knows every team.

  4. Phone is usually unnecessary

    Most developer communication is asynchronous and internal, routed through Slack or your issue tracker. A phone number in a developer signature often goes unused for years. Leave it out unless you're on call or client-facing — the empty slot is a feature, not a gap.

  5. No tracking pixels or image-heavy blocks

    This audience notices, and some of them will mention it. Remote images also break in the terminal clients and plain-text modes a meaningful share of developers still use. Text and links only is both safer and better received here.

How to add your signature

The same four steps in every client. Copy the HTML above first.

Gmail

  1. Copy the HTML for the layout you want.
  2. Open Gmail → Settings → See all settings → General.
  3. Scroll to Signature, click Create new, and name it.
  4. Paste into the editor box, then click Save changes at the bottom.

Outlook

  1. Copy the HTML for the layout you want.
  2. In Outlook, go to File → Options → Mail → Signatures.
  3. Click New, name the signature, then paste into the edit box.
  4. Set it as the default for new messages and replies, then click OK.

Apple Mail

  1. Copy the HTML for the layout you want.
  2. Open Mail → Settings → Signatures and click + to add one.
  3. Paste into the preview pane on the right.
  4. Uncheck "Always match my default message font" so the styling holds.

Yes, if the profile is presentable and reasonably current. It's the most useful single link a developer can offer, especially when job-hunting or working in open source. If your account is empty or private, leave it out — an empty profile answers a question you'd rather not raise.
