What to include in a photographer email signature

The fields matter less than the order and the restraint. These are the decisions specific to this role.

  1. Your specialty, not just "Photographer"

    "Wedding & Portrait Photographer" tells a prospect in three words whether you're the right person to email back. Plain "Photographer" makes them ask, and a lot of them won't. If you shoot several genres, lead with the one you want more of.

  2. A portfolio link, not a homepage link

    Send people to work, not to a navigation menu. If your site has a gallery or a single strongest collection, link that directly. Photography is bought on sight, and every extra click between the email and an image costs you inquiries.

  3. Instagram, if you actually maintain it

    For most photographers Instagram is a second portfolio and clients expect it. Include it only if the grid is current — a link to a feed you abandoned two years ago reads worse than no link at all.

  4. Mobile over office

    You are on location most of the week, and clients booking a shoot need to reach a person. A studio landline that rings in an empty room is worse than no number. One reachable mobile beats two unreachable lines.

  5. Restraint on the design

    Your signature will sit directly beneath photographs. Heavy colour blocks and thick dividers fight your own images for attention. Pick a quiet layout and let the work above it do the talking — this is the one profession where a plain signature is often the stronger choice.

How to add your signature

Gmail

  1. Copy the HTML for the layout you want.
  2. Open Gmail → Settings → See all settings → General.
  3. Scroll to Signature, click Create new, and name it.
  4. Paste into the editor box, then click Save changes at the bottom.

Outlook

  1. Copy the HTML for the layout you want.
  2. In Outlook, go to File → Options → Mail → Signatures.
  3. Click New, name the signature, then paste into the edit box.
  4. Set it as the default for new messages and replies, then click OK.

Apple Mail

  1. Copy the HTML for the layout you want.
  2. Open Mail → Settings → Signatures and click + to add one.
  3. Paste into the preview pane on the right.
  4. Uncheck "Always match my default message font" so the styling holds.

Photographer email signature questions

What should a photographer put in an email signature?

Name, your specialty as a job title, your studio or business name, a direct portfolio link, one reliable mobile number, and Instagram if you keep it current. Skip the office landline and skip long taglines — clients are scanning for who you are and where they can see your work.

Should a photographer put images in their email signature?

One small logo is fine. Embedding sample photographs is not — they inflate the email, get blocked by default in most clients, and often show as broken placeholders. Link to a gallery instead. The portfolio link does the job an embedded image is trying to do, and it always loads.

Do I need my business name if I shoot under my own name?

If your business name is just your name, don't repeat it twice — it looks like a formatting error. Use one line for your name and one for your specialty. Add the studio name only when it differs from your personal name, or when you want the signature to read as a company rather than a freelancer.

Should I include my pricing or availability in my signature?

No. Both change, and a stale rate in a signature creates awkward conversations later. If you want to push booking, link to a page that holds the current information. That way you update one page instead of every signature on every device.

What size should a photographer's email signature be?

Keep the whole signature under about 600 pixels wide so it doesn't force horizontal scrolling on mobile, and keep any logo under roughly 150 pixels wide. Every template on this page already sits inside those limits.

Is a plain-text or HTML signature better for photographers?
