Real Estate Agent Email Signature Templates

A real estate agent's email signature should carry your name, your brokerage's name as licensed, your license number where your state asks for it, your cell, a recent headshot and one link to your listings. California and Texas both count email as advertising, so the brokerage line belongs in it.

Below are four templates filled in for an agent, each with its own copy-paste HTML. Every one carries the license number and the brokerage, the two lines your state is most likely to ask for. They render live on this page, so what you see is what your clients get.

What to include

What to include in a real estate agent email signature

Most signatures carry the same basic fields, so what matters is the order and what you leave out. These are the decisions specific to this role.

  1. Your brokerage's name, as it's licensed

    Clients sign with your brokerage, and the rules expect to see it. Texas counts email and business cards as advertising, bar messages to your current clients, and wants the broker's name in them at least half the size of the largest contact detail or team name, and Texas counts your own name as contact information. NAR's Code of Ethics asks members to show their firm's name in any advertising too.

  2. Your license number, where your state asks for it

    California's real estate regulations ask for your eight digit license number and your responsible broker's name on anything meant to be a first point of contact, and their list names business cards, stationery and advertising by email. Other states set their own rules, so ask your broker what yours requires. Adding the number to your signature puts it on every email you send.

  3. A headshot from this year

    Buyers meet you at a front door or an open house, often after weeks of email. A small, current photo lets them recognize you on the porch. Use one that looks like you do now, cropped to head and shoulders, because it shows at about the size of a thumbnail.

  4. Your cell as the main number

    Clients call and text the number they have, at all hours, and an office line that rings a front desk slows down the call that matters, like an accepted offer or a lockbox that won't open. Lead with the cell you answer. Add the office only if someone there can help a client while you're in a showing.

  5. One link, to your listings

    Link the page where your active listings live, whether that's your own site or your profile on your brokerage's site, and skip the row of portal and review badges. If you mostly work with buyers, link a page that explains how you work with them instead.

  6. REALTOR® only if you're a member

    REALTOR® is a membership mark of the National Association of REALTORS®, which only members may use, and NAR asks that it never stand in for agent or broker in general. A member puts it after their name with a comma, as in Nadia Rahman, REALTOR®, and keeps Real Estate Agent or the title on their license as the job title.

  • Agent in California

    1. Copy the HTML for the template you want.
    2. In Gmail on the web, open Settings (the gear), then See all settings.
    3. On the General tab, scroll to Signature, choose Create new, name it and choose Create.
    4. Click into the signature box and paste (⌘V or Ctrl+V).
    5. Set it as the default for new emails and replies, then choose Save Changes at the bottom of the page.

What should a real estate agent put in an email signature?

Your name, Real Estate Agent or the title on your license, your brokerage's name as licensed, your license number if your state asks for it, your cell, a recent headshot and one link to your listings. Skip the portal badges and the long motto. Clients want to know who you are, who you're with and how to reach you.

Do real estate agents have to put their license number in their email signature?

In California, yes. Its real estate regulations ask for your eight digit license number and your responsible broker's name on first point of contact materials, and they list email among them.
