What to include in a teacher email signature
Most signatures carry the same basic fields, so what matters is the order and what you leave out. These are the decisions specific to this role.
Subject and grade level together
Parents email several teachers and often can't remember which one teaches what. "7th Grade Science Teacher" answers that instantly and cuts down misdirected email. It also helps front-office staff route messages without asking you.
Your school, spelled out
Use the full school name rather than an internal abbreviation. Parents new to the district won't know "LMS," and in districts with several similarly named schools an abbreviation causes real confusion. Write it the way it appears on official correspondence.
Office hours or a response window
This is the item most teacher signatures are missing and the one that protects your evenings most. A line like "I reply to email within one school day" sets expectations without sounding unavailable, and it means far fewer follow-ups sent three hours after the first message.
Only the school's phone number
Use the school's main line or your classroom extension. A personal mobile in a signature sent to hundreds of families is very hard to walk back, and most districts have policy against it. If parents need to call, they should reach the school.
Check district policy before adding anything else
Many districts restrict photos, outside links, quotations, and social accounts in staff email, and some require a specific footer. Ask your school office or check the staff handbook before you set one up.

How to add your signature
Copy the HTML above, then paste it into your email app's signature settings.
Gmail
- Copy the HTML for the template you want.
- In Gmail on the web, open Settings (the gear), then See all settings.
- On the General tab, scroll to Signature, choose Create new, name it and choose Create.
- Click into the signature box and paste (⌘V or Ctrl+V).
- Set it as the default for new emails and replies, then choose Save Changes at the bottom of the page.
Outlook
- Copy the HTML for the template you want.
- New Outlook and Outlook on the web: Settings → Accounts → Signatures.
- Choose Add signature, name it and paste into the box.
- Tick the boxes to use it for new messages and for replies and forwards, then Save.
- Classic Outlook for Windows: File → Options → Mail → Signatures → New, paste, set the defaults, OK.
Apple Mail
- Copy the HTML for the template you want.
- In Mail on your Mac, open Mail → Settings → Signatures.
- Select your account on the left, then choose + below the middle column and name it.
- Untick “Always match my default message font”, then paste into the right-hand column.
- Pick it in the Choose Signature menu so new messages include it.
