A graphic designer's email signature should carry your name, your discipline, your studio or freelance status, and a portfolio link. It's held to a higher standard than most, because clients read it as a small sample of your work.

What to include

What to include in a graphic designer email signature

Most signatures carry the same basic fields, so what matters is the order and what you leave out. These are the decisions specific to this role.

  1. Name your design discipline

    "Designer" now covers brand identity, UX, motion, packaging, and print. Each is a different hire. "Brand & Identity Designer" or "Packaging Designer" gets you the inquiries you want and saves you from calls about the wrong kind of work.

  2. Treat the signature as part of your portfolio

    Clients do judge a designer's signature. Misaligned text, a stretched logo, or three competing typefaces cost you credibility before they open your deck. For a designer, the craft of the signature is itself evidence of the service.

  3. One typeface, two weights

    The most common mistake is using two or three type families to show range, which reads as indecision. Set your name in a heavier weight and everything else in regular, all in one family, and the whole block looks considered.

  4. Behance or Dribbble only if it's your real portfolio

    If your best work lives on your own site, link that and skip the platforms, since an extra link pulls clicks away from the one you want. If a platform is where your strongest work sits, use it, but pick one rather than listing all three.

  5. Test it on a dark background

    Plenty of recipients read email in dark mode, and many clients will forward your email into a thread that renders differently. Signatures set in near-black on transparent can disappear entirely. Check yours inverted before you commit to it.

How to add your signature

Copy the HTML above, then paste it into your email app's signature settings.

  • Gmail

    1. Copy the HTML for the template you want.
    2. In Gmail on the web, open Settings (the gear), then See all settings.
    3. On the General tab, scroll to Signature, choose Create new, name it and choose Create.
    4. Click into the signature box and paste (⌘V or Ctrl+V).
    5. Set it as the default for new emails and replies, then choose Save Changes at the bottom of the page.

  • Outlook

    1. Copy the HTML for the template you want.
    2. New Outlook and Outlook on the web: Settings → Accounts → Signatures.
    3. Choose Add signature, name it and paste into the box.
    4. Tick the boxes to use it for new messages and for replies and forwards, then Save.
    5. Classic Outlook for Windows: File → Options → Mail → Signatures → New, paste, set the defaults, OK.

    2. In Mail on your Mac, open Mail → Settings → Signatures.
    3. Select your account on the left, then choose + below the middle column and name it.
    4. Untick “Always match my default message font”, then paste into the right-hand column.

Graphic Designer email signature questions

What should a graphic designer put in an email signature?

Your name, your specific discipline, your studio name or freelance status, and one portfolio link. Keep it to a single typeface in two weights. For designers the execution matters as much as the content, because every client who gets an email from you sees how well it's set.

Should a designer's email signature show off their design skills?

Only through restraint. A signature with gradients, three fonts and an animated GIF looks like a student's portfolio piece, while a restrained one reads as senior. Knowing what to leave out is a large part of what clients pay a designer for, so let the signature show it.

Should I use Behance, Dribbble, or my own website?

Your own site, if you have one worth sending people to, because you control the context and the framing. Use Behance or Dribbble when that's where your strongest work is. Pick one. Listing all three splits attention, and none of them gets clicked.

Can I use a custom font in my email signature?

Not reliably. Email clients don't load web fonts consistently, and Outlook in particular will substitute something you didn't choose. Use a web-safe family, or accept a graceful fallback. The templates here use fonts that render predictably across Gmail, Outlook, and Apple Mail.

How wide should a designer email signature be?

Under about 600 pixels. Beyond that, mobile clients either shrink the whole thing or force horizontal scrolling, and both look careless. Every template on this page is already built inside that constraint.

Should I include a logo in my email signature?

If you have a studio mark, yes. Use just one, small and aligned with your text on the left or right rather than floating on its own. Keep it under roughly 150 pixels wide. If your logo is a wordmark of your own name that's already in the signature, leave it out, since it would say the same thing twice.
